Setting up video links

For your remote sessions, Klarity generates or reuses a meeting link automatically. This setting is done session type by session type, in the Mode & location section of its form.


Understanding video in Klarity


Video isn't a global setting: it depends on the session type. When a type's Default mode is Video (or Client's choice), the form shows the Video platform block. The chosen link is automatically attached to every session of that type — you have nothing to resend by hand.


Automatic recording of a video session remains subject to the client's consent. Without consent, the session takes place but isn't recorded.


Whatever the platform (Google Meet, Zoom or Teams), the recording assistant asks to join your room and you must admit it from the waiting room, for every session. Details in Capturing a session.


The available platforms


Video platform


  • Google Meet (recommended · zero setup) — a unique Meet link is generated automatically for each session. Requires your Google Calendar to be connected; otherwise a warning invites you to connect it or pick another platform.
  • Zoom — you paste the link of your permanent Zoom room (Personal Meeting ID); it's reused for all sessions of that type.
  • Microsoft Teams — same principle: you paste the link of your personal Teams meeting.


Setting it up


  1. Open the relevant session type (Agenda › Session types, then Edit), or create a new one.
  2. In the Mode & location section, choose the Default mode Video (or Client's choice).
  3. Under Video platform, select Google Meet, Zoom or Microsoft Teams.
  4. For Zoom or Microsoft Teams, fill in the Your permanent room field with your room link. With Google Meet, nothing to enter: the link is created for you.
  5. Save. When a session of this type is created, the link appears on the session file and your clients find it in the booking confirmation.


With Google Meet, if your Google calendar isn't connected, no Meet link will be generated. Connect it from the Availability tab (Google Calendar card), or pick Zoom/Teams with a room link.


Where to find your room link


For Zoom and Microsoft Teams, Klarity reuses a room of yours: it's a permanent link you get once in your tool, then paste into the Your permanent room field. For Google Meet, there's nothing to get.


Google Meet

  • Nothing to do: the link is created automatically for each session, provided your Google Calendar is connected. You paste no link.


Zoom — your Personal Meeting Room

  1. Sign in to zoom.usMeetings menu → Personal Room tab.
  2. Copy the Invite Link (of the form https://zoom.us/j/YOUR_ID).
  3. Paste it into the Your permanent room field in Klarity.


This personal room (Personal Meeting ID) is always the same: a single link serves for all your sessions of this type.


Microsoft Teams — a reusable meeting link

  1. In Teams, open CalendarMeet now (or create a recurring meeting).
  2. Click Get a link to share and copy the Join Microsoft Teams Meeting link.
  3. Paste it into the Your permanent room field in Klarity.


Teams doesn't have a "personal room" in Zoom's strict sense: use a meeting link (instant or recurring) — it stays valid and reusable for your next sessions.


💡 Tip: during a manual creation, you can also paste a one-off Video link directly into the "New session" form — useful for an exceptional video session outside your usual types.
