Create and manage a task

A task takes seconds to create, then fills in as you go. This article covers how to add it, flesh it out, link it to a client, mark it as done and delete it.

Understanding a task

A task always has a title (what needs to be done). You can add notes, a due date and a linked client — all optional. A task has only two states: to do or done. There is no priority and no subtasks: the tool stays deliberately simple, the due date is enough to organize your work.

Create a task

The New task button, at the top of the Tasks screen, opens an input panel on the right of the screen.

Only the title is required: to jot down an action quickly, type it and confirm — you'll fill in the rest (due date, client, notes) later by reopening the task.

Fill in the Title — the only required field.
Add Notes if you want to keep the context (details, points to cover…).
Choose a Due date: the Today / Tomorrow / No due date shortcuts, or Pick a date for a specific date.
Link a Linked client so the task also surfaces on their record. You can unlink it at any time.
Give it a Color if you like (or None): it's a purely visual marker, shown as an accent bar to the left of the task, that affects neither sorting nor filters.
Confirm with Create task. To edit an existing task, open it: the same panel appears with Save.

Understanding the agenda

The agenda is the control center for all your appointments: your calendar, your availability, your session formats and your booking page. This article tours each tab so you can find your way around quickly.

Understanding the agenda

The Klarity agenda brings together in a single screen what used to be scattered across several tools: seeing your appointments, opening your slots for booking, defining your session formats and publishing your public link. Everything is organized into four tabs at the top of the page.

| The agenda works on mobile, tablet and desktop. Since the calendar view is dense, a large screen stays the most comfortable for setup; for a quick daily glance, the dashboard and the session file are perfect on mobile.

My agenda

My agenda — your calendar in Week or Month view. It shows scheduled appointments, blocked time and, if you've connected it, events from your Google Calendar. The top bar also shows indicators: Today, This week and Requests to confirm.
Availability — the Public booking time slots, day by day, the Booking rules (buffer between sessions, minimum notice and maximum horizon) and the External calendar sync (Google Calendar connection). This is what decides the slots offered on your public page.
Session types — your reusable formats (name, duration, price, mode and location, AI processing)

Not receiving Klarity emails

Accepted Answer

A Klarity email isn't arriving? Whether it's your account verification email, a reset link, a consent request or a report email sent to a client, the causes are almost always the same: a message filed as spam, or an address typed incorrectly. Here's what to check, depending on whether the email is meant for you or for your client.

Klarity sends two families of emails:

For you, the coach — verification of your address at sign-up, password reset link, account notifications.
For your clients — the GDPR consent link and the report email (session recap) you validate after a session.

| Good to know: an email may take a few minutes to arrive. Wait a moment before resending.

Your emails (account, verification, password)

Check your spam / junk folder. This is the number one cause.
Check your account address in Settings › Profile & account: one typo and the email goes nowhere.
Resend the email when the option is offered. On the verification screen, click Resend verification email. For the password, go back through Forgot password? on the sign-in screen.

Check the client's email on their record: a wrong address is, here too, the most frequent cause.

The client record in detail

The client record centralizes everything about a client: their journey, their sessions, their smart memory, your notes and their consent. It's the screen you'll spend the most time on before and after each session.

Understanding how the record is organized

The record is made of a header (identity and main actions) followed by seven tabs. The header stays visible whatever tab is open; the tabs, meanwhile, split the information by use. The first three — Overview, Trajectory, Memory — gather everything the AI adds value to.

The header

Here you find the client's name, their tags, the number of sessions and their coaching start date, along with the main actions:

New session — schedules an appointment with this client.
Import history — brings their pre-Klarity documents into the memory.
More actions (menu) — gives access to Resend consent link, Archive this client (or Unarchive this client) and Delete this client.

The tabs

Overview — the essentials at a glance: the key coaching indicators (sessions completed, average cadence, engagement honor rate, open engagements), the next and last session, the "About" information and recent activity.
Trajectory — the client's progress across sessions: their coaching objectives, the engagements detected by the AI and their follow-up, along with between-session check-ins. See the dedicated article.

Understanding the free trial

Klarity starts with a 14-day free trial, no credit card required. It's the perfect moment to test the tool on real sessions before choosing a plan, with no commitment and no risk of being charged.

Understanding the free trial

During the trial, your account is in the Trial status and every feature is unlocked, including the ones reserved for higher plans (such as Memory Chat). You get to evaluate Klarity in its most complete version.

Since no credit card is requested at sign-up, no charge can occur. When the 14 days are over, nothing triggers automatically: you decide whether or not to subscribe, entirely on your own terms.

| Good to know: you can find your trial at any time in Plan & billing, on the Overview tab. The Trial period block shows the current day and the number of days left.

Tracking your trial

Open Plan & billing (from your account menu).
Stay on the Overview tab (shown by default).
The Trial period block shows "Day X of 14" and the days left. As long as no card is on file, the message confirms you will not be charged.

When the trial ends

To keep going after the 14 days, choose a plan on the Plan & change tab, then confirm with the Subscribe now button. That action — and only that action — starts billing. You can subscribe at any time, even before the trial ends.

Refer other coaches

Coaching is a relationship business. If Klarity helps you, you can tell the coaches around you about it — and you both benefit. This article explains the Referral tab on the coach's side and the benefit the person you refer enjoys.

Where to find referral

Open Plan & billing: the Referral tab appears in the tab bar. It's titled Introduce Klarity to a fellow coach.

| The Referral tab isn't shown on every account: it's reserved for eligible accounts (the account owner). If it doesn't appear for you, that's normal.

The benefit on both sides

At the top of the tab, two cards sum up the principle:

For you — −10 €/month per active referral, stacking with each colleague referred (up to the simultaneous active-referral cap set by your account). Your referrals can thus reduce, or even cover, your entire subscription.
For your colleague — −50% for their first 2 months, whatever plan they choose.

|| The discount applies only while your referral stays subscribed (once their trial ends). If their subscription stops, the matching discount ends too.

Sharing your personal link

The Your personal link section shows your referral link and a Copy link button.

Click Copy link: your link is placed on the clipboard.
Share it with a colleague by email, WhatsApp, LinkedIn or in your email signature.
Below the link, Klarity tells you how many times it was visited this month.
