The client record in detail
The client record centralizes everything about a client: their journey, their sessions, their smart memory, your notes and their consent. It's the screen you'll spend the most time on before and after each session.
Understanding how the record is organized
The record is made of a header (identity and main actions) followed by seven tabs. The header stays visible whatever tab is open; the tabs, meanwhile, split the information by use. The first three — Overview, Trajectory, Memory — gather everything the AI adds value to.
The header
Here you find the client's name, their tags, the number of sessions and their coaching start date, along with the main actions:
- New session — schedules an appointment with this client.
- Import history — brings their pre-Klarity documents into the memory.
- More actions (menu) — gives access to Resend consent link, Archive this client (or Unarchive this client) and Delete this client.
The tabs
- Overview — the essentials at a glance: the key coaching indicators (sessions completed, average cadence, engagement honor rate, open engagements), the next and last session, the "About" information and recent activity.
- Trajectory — the client's progress across sessions: their coaching objectives, the engagements detected by the AI and their follow-up, along with between-session check-ins. See the dedicated article.
- Memory — the pre-session briefing, the summaries of past sessions and the recurring themes detected by the AI.
- Sessions — the full session history, with filters by status, type and dates.
- Notes — your private annotations about this client, visible to you only.
- Consent — the consent status, its history and the associated actions.
- Settings — the personal information, tags, internal note and the client's deletion zone.
When the client is archived
If you have archived this client, a This client is archived banner appears at the top of the record, and an Archived badge shows next to their name. The data and history remain viewable, but the client is excluded from the Memory Chat and your statistics. Actions that assume ongoing coaching — New session, Import history, Resend consent link — are disabled while they're archived. To use them again, click Unarchive in the banner or the More actions menu. Your notes, on the other hand, stay editable.
