My session wasn't recorded
The session took place, but no transcript or summary appeared? This article lists every possible cause, from the most frequent to the rarest — most of them come from how the video call itself unfolded (assistant not admitted, room never opened), not from a Klarity malfunction.
The assistant wasn't admitted to the room (cause #1)
To record a video call, the Klarity assistant joins your meeting as a participant — and like any external participant, it's up to you, the host, to let it in. That's a security rule of your video tool (Google, Microsoft, Zoom), not a Klarity choice. Until it is admitted, nothing is recorded.
Concretely, at every session:
- Google Meet — a "… wants to join" notification appears in the meeting when the assistant arrives: click Admit. On Meet, this manual admission is systematic, every single session — Google doesn't allow bypassing it for an external participant. On the very first launch of a recordable Meet call, Klarity also shows a Remember to admit the recording bot reminder (only once): without this admission, the session can be neither recorded nor summarized.
- Microsoft Teams — the assistant waits in the lobby: click Admit on the notification, or from the participants list.
- Zoom — if your room has a waiting room, open the Participants panel and click Admit next to the assistant.
If you don't admit it, the assistant waits up to 15 minutes then leaves without recording. If it couldn't join at all, Klarity retries once with a fresh assistant; after a second failure, the session moves to To finalize and you close it manually.
Nobody joined the call
If the assistant enters a room where nobody shows up, it waits 10 minutes alone, then leaves. The session is then automatically marked Missed (about 2 hours after the planned end time) if no usable recording exists.
Likewise, your room must be open: the assistant can't "create" the meeting for you. Open the video link before the start time, like any participant would.
You left the call mid-session
If every participant leaves the call (to fix a microphone, for example), the assistant waits 2 minutes before stopping the recording. Come back within that window and recording continues; beyond it, it stops cleanly and the part already captured is processed.
The video link was missing or invalid
Without a usable meeting link, recording can't be prepared:
- Missing link — Not recorded — missing video link badge: no channel was available at booking time (Google Calendar not connected for a Meet type, no room link for Zoom/Teams). Set up the channel then re-enable recording for upcoming sessions — see the dedicated article.
- Invalid link — Invalid meeting link banner (Not recorded · invalid link badge): a link exists but isn't usable. Fix it (Check the meeting link) and recording resumes automatically.
- Teams on a personal account — Microsoft doesn't auto-generate a link on a personal outlook.com account: paste a room link on the session type. See "Fix a video call that won't start".
The session type doesn't record
Recording is set per session type (Record audio and generate a summary in the type's editor). If the type used for this session has recording off, the session shows as Unrecorded video: that's a deliberate setting, not a failure. Also check the Recording start setting in Settings › Sessions & memory (automatic, never, or confirm each time).
The client hadn't given consent
Before joining, the assistant checks the client's consent: if it isn't in the granted state, no recording happens — the session takes place normally, without capture. The Client without consent badge on the session flags it, with the Resend consent link action.
Your recording quota was reached
When your plan's capture quota is used up, the session carries the Not recorded (quota reached) badge and a box announces it before the session ("This session won't be recorded. Renews on {date}."). The quota renews with each billing period; track it in Plan & billing › Consumption.
In-person session: capture is manual
In person, there is no assistant: it's up to you to start the capture from the Session capture panel (mic recording) — or to import the recording afterwards (voice recorder, phone). If you didn't start anything during the session, all is not lost: import the audio file after the fact and Klarity transcribes it normally. What to do once the session went unrecorded
A past session cannot be recorded retroactively — but it isn't lost:
- On the session page, use Mark as held (More actions menu) to finalize it manually.
- Write down the essentials in My notes (or dictate them): your notes feed the client's memory even without a transcript.
- Fix the cause (assistant admission, link, consent, quota) so the next session gets captured.
