My calendar sync stopped working

Your Google or Outlook events no longer appear in Klarity, your slots don't get blocked anymore, or a banner tells you your calendar was disconnected? The causes almost always come from the Google or Microsoft side (revoked authorization, wrong account) — here's how to identify and fix them.


"Your calendar was disconnected"


If Klarity shows the Your calendar was disconnected banner ("Klarity's access to your calendar was revoked"), Google or Microsoft invalidated the authorization. This happens outside Klarity, typically when:


  • you changed the password of your Google/Microsoft account, or enabled certain security options;
  • you revoked Klarity's access from your account's security settings (Google's "Third-party apps" page, Microsoft's "Apps and services");
  • your organization uses Google Workspace / Microsoft 365 managed by an admin, and they restricted third-party app access.


The fix is the same in every case: click Reconnect in the banner (or from Settings › Connectors), sign in again and accept the requested access again. Sync resumes right away.


If reconnecting keeps failing on a managed work account (corporate Workspace / Microsoft 365), it's likely a restriction set by the domain administrator: ask them to allow the Klarity application.


You connected the wrong account


The great classic of multiple Google accounts: on the authorization screen, you picked a different account from your working calendar (personal vs work account). Result: Klarity syncs a near-empty calendar, and your Google Meet links get created on the wrong one.


  1. In Settings › Connectors, look at the email shown on the connected calendar's card ("Connected · your email"): is it the right account?
  2. If not: click Disconnect, then Connect again — and on the Google/Microsoft screen, explicitly pick the right account (don't confirm the default one without reading it).


Some calendar events don't block your slots


Not all events are treated the same — these behaviors are deliberate:


  • Only your primary calendar is synced. Secondary calendars (shared calendars, "Birthdays", team calendars…) aren't read. An event sitting on a secondary calendar won't block your slots: move it to the primary calendar if it should count.
  • Events marked "Free" block nothing. In Google ("Available") as in Outlook ("Free" / "Working elsewhere"), an event where you're marked available doesn't consume your slots — change the event's setting ("Busy") if it should block.
  • Declined invitations block nothing. An event you declined is ignored.
  • "Tentative / maybe" invitations do block. As a double-booking precaution, a tentatively accepted event counts as busy.


Sync runs automatically every 5 minutes. After a change in Google/Outlook, wait a moment or click Sync on the connector card. The manual button is rate-limited: "Too many syncs, try again later" simply means the automatic one will take care of it.


The card says "Partial sync" or "Sync failed"


  1. Click Sync to retry manually.
  2. If the state persists, disconnect then reconnect the calendar (connector card). That renews the authorization from scratch.
  3. The card can also flag detected conflicts (an external event overlaps a Klarity session): open your calendar and arbitrate — move the session in Klarity, or the event in your calendar.


Always edit your sessions in Klarity, never in Google/Outlook: a session edited or deleted directly in your external calendar does not flow back into Klarity, and the two calendars drift apart.


Reminder: one calendar at a time


Google and Outlook are mutually exclusive. If the connector card you want is greyed out ("Disconnect {the other} to connect {this one}"), disconnect the current calendar first.


💡 Tip: after any reconnection, run the full 1-minute test: create a "Busy" event in Google/Outlook on a normally free slot, wait for the sync (or force it), then check on your public page that the slot is gone.
