The report email draft

After a session, Klarity prepares a draft recap email — the report email — that you review before sending it to your client, or that you choose not to send.

Understanding the report email

The draft is pre-filled by the AI from the session summary. Right after the session, it may still be generating: a Drafting the report email… indicator lets you know, and the content appears automatically as soon as it's ready. The report email is only available once the summary has been generated.

Reviewing and sending

  1. On the session page, open the Report email tab, titled Report email for the client.
  2. Review the preview: the sender (From), the recipient (To), the Subject and the message body.
  3. Click Send the report email: the client receives the email with a magic link. The status changes to Sent on {date}.

If you'd rather not send it for this session, Don't send this time marks the email as not sent (a Send skipped badge). This choice is reversible: you can still send it later. In both cases — sending or skipping — the session's attachments are then locked (see Adding attachments).

The draft appears read-only in the tab. To change the tone and structure of your reports for good, use the Customize template link (which opens your AI templates).

Without the client's consent, or in Raw storage mode, the report email is unavailable. In raw storage, first convert your notes into an AI summary from the Notes tab.

Sending also requires an email address on the client file: if it's missing, the button is disabled with the note This client has no email address — add one on the client's file. The report email is also unavailable on a demo session.

If Klarity tried an automatic send but couldn't complete it (missing consent or a delivery error), an Automatic send failed state appears: you can then send the email to the client manually.

💡 Tip: to adapt the tone to your voice or frame what should appear, customize your AI templates — each session's draft will inherit them.
