Completing a session
Some sessions need to be closed by hand: an appointment that wasn't recorded, an in-person or phone session to confirm, an absent client, or a summary you want to freeze earlier. Klarity distinguishes several gestures — completing a session, marking it as a no-show, reopening it in case of a mistake, or locking its summary.
Understanding the closing actions
These actions are available in two complementary places:
- The banner at the top of the page, which offers the most expected action for the state (for example Finalize manually on a session left as To finalize).
- The More actions menu (the three dots, top right), which gathers Mark as completed, Mark as no-show and Reopen session when they apply.
Marking a session as completed
Use Mark as completed (More actions menu) for a session that did take place but that Klarity didn't record — an in-person meeting, a phone call, or an uncaptured video call. A Complete this session popup opens:
- Confirm the actual Date and Time (pre-filled) — you can't set a moment in the future.
- Optionally add debrief Notes (optional — you can also complete them later).
- Click Confirm: the session becomes a manual session in raw storage. It switches to the Notes tab, where you'll then be able to generate an AI summary.
On a session left as To finalize, the banner directly offers Finalize manually, which produces the same result.
Marking a no-show
If the client didn't attend, use Mark as no-show (More actions menu or the No-show button in the banner). After confirmation, the session moves to the No-show state: it stays as a record of the appointment but is excluded from the client's memory, and no email is sent.
Reopening a closed session
Completed or marked a session as a no-show by mistake? As long as no summary has been generated, Reopen session (More actions menu) brings it back to the Scheduled state so you can close it differently. It stays manual — automatic recording is not resumed.
Locking the summary
As long as a recorded session is Summary ready · editable, you can still enrich it. The Lock now action (banner) freezes the summary without waiting for the deadline: the session moves to Summary locked and the validated content enters the client's memory for good. Otherwise, locking is automatic when the enrichment window expires.
