Prepare a scheduled session

As soon as a session is scheduled, Klarity builds a full Preparation view: the pre-session briefing, the client's reference points, their objectives in progress and their last session, all in one place. You arrive prepared without rereading the whole history.


Understanding the Preparation view


The Preparation view appears on any session that's still Scheduled. It stacks several cards, top to bottom:


  • Pre-session briefing — the AI summary of where the client stands;
  • Client at a glance — the key facts from the client record;
  • Objectives in progress — the active objectives and their targets;
  • Last session — a recap of the previous session;
  • Latest quiz answers — the client's answers to their post-session quiz (Signature plan);
  • at the bottom, a direct entry to Memory Chat already focused on this client.


Each card only appears when its content exists. Once the session is captured and finalized, this view gives way to the summary and post-session deliverables.


The pre-session briefing


The Pre-session briefing card (subtitle "AI summary of where the client stands.") shows the "generated {date}" label telling you when the preparation was produced.


Generated automatically


There's no button to press: the briefing is produced automatically, at the end of the previous session's processing or the day before the session. Until it's ready, the card reads "The briefing will be generated automatically — at the end of the previous session's processing, or the day before the session.".


Two special display cases:


  • if you rescheduled the session, an already-prepared briefing may carry the note "Prepared for a previous session — it will be regenerated for this one.";
  • if the automatic briefing is turned off for this session type, the card reads "Automatic briefing is turned off for this session type — no briefing will be generated.".


The automatic briefing is set per session type, through the Automatic pre-session briefing option ("Recommended for follow-up sessions. Off by default for discovery sessions."). See Creating and editing a session type.


What can enrich it


Two extras feed the briefing when they're available:


  • your client's post-session quiz answers (Signature plan);
  • a "Preparation angles" section, if you enabled the Methodology lens in Settings › AI personalization.


Which template structures the briefing


Below the briefing, the How this briefing is structured panel tells you which outline organizes it: your Pre-session briefing template ("{name}"), your practice's default template, or Klarity's standard outline if no template is attached to the session type. This panel doesn't appear when the automatic briefing is turned off. You choose a template per session type from Settings › AI templates, Briefing tab — see Personalizing your AI templates.


A template change applies to the next generation — briefings already produced are not regenerated retroactively.


Client, objectives and last session


Three cards round out the briefing with the essentials of the record:


Client at a glance


The Client at a glance card ("Key facts from the client record.") gathers the Coaching theme, Consent, the number of Sessions (with "last on {date}"), the Initial objectives and your Internal note. That note stays Private — never visible to the client.


Objectives in progress


The Objectives in progress card lists the active objectives, each with its target ("Target: {date}", followed by "— overdue" when relevant). With no active objective, it reads "No objective in progress.".


Last session


The Last session card recaps the previous session and offers the Open the session link. If that session has no summary, it reads "No summary available for this session.".


Latest quiz answers (Signature)


The Latest quiz answers card is a Signature-plan exclusive.


This card shows the client's latest answers to their post-session quiz, ready for your preparation. If your plan doesn't include it, a preview invites you to move to Signature through an Unlock CTA (which leads to your plans, without showing a price). If your plan includes it but no quiz has been answered yet, the card simply stays hidden. See The post-session quiz.


Group session: preparation at the group level


For a scheduled group session attached to a group, preparation happens at the group level, not the participants'. There you'll find the Group briefing, a Group at a glance card (with Company, Coaching since, Collective objectives in progress and the Open the group record link) and the group's Last session.


As an anti-leak principle, group preparation shows no individual memory content for a participant: no client reference points, no quiz. A group session with no group (ad hoc) has no Preparation view — only the participant list appears.


Export the briefing


You can take the preparation away as a document, 100% on your device (nothing is sent to a server).


  1. On a scheduled session, open the "…" menu in the header.
  2. Click Export briefing… (not to be confused with Export…, which exports the post-session summary).
  3. In the Export briefing dialog, choose a Format: PDF, Word or Plain text.
  4. Under What to include, tick what you want to take away — each option only appears if the content exists: Include the pre-session briefing, Include client reference points (or group reference points for a group session), Include the last session, Include the last answered quiz (1:1 sessions only), Include my notes. Two formatting options complete it: Show content origin (AI or coach) and Add a header with my name.
  5. Click Download: the document is generated on your device.


If there's nothing to take away, the dialog reads "Nothing to export for this session yet.".


Special cases


  • No "generate" button. The briefing is always produced automatically; you never trigger it by hand.
  • Nothing shows up. As long as the client's memory is empty, the briefing stays unavailable and the cards fill up session after session.
  • "The preparation view couldn't be loaded". Your data is safe: check your connection and try again.


💡 Tip: a few lines of enrichment after each session and an imported history are enough to make the briefings noticeably more useful from your very first appointments.
