Send or resend a consent request
Until a client has given their consent, their sessions can't be recorded. Klarity lets you (re)send them the link at any time — automatically or by hand.
Understanding how the link is sent
The consent link is personal: it's tied to the client's file and their email address. That address will receive the form, and the file status switches to Pending as soon as the link is sent.
Choosing consent when creating the file
Right in the New client window, a Consent block asks you how to collect the agreement — sending is no longer silent. Three exclusive options:
- Send the consent request by email — the link goes to the address entered; the status switches to Pending.
- Consent already collected (in person) — you attest that you obtained it verbally or in writing (see below); capture is authorized immediately.
- Later — nothing is sent; you'll request consent from the file whenever you want.
Send the link automatically
In Settings › Sessions & memory, section Consent, enable Automatically send the consent link. The link is then offered by default as soon as the client file is created, without having to think about it. This is the recommended setting so you never forget a request — the choice remains adjustable case by case in the New client window.
Resend the link manually
The Resend consent link action only appears when there's still an agreement to obtain — statuses Pending, Refused or To send. It disappears once consent is granted (nothing to resend) and after a withdrawal (a withdrawal isn't restarted — a client can click their initial link again themselves).
- Open the client's file, then the Consent tab (or the actions menu at the top of the file).
- Click Resend consent link; in the Consent tab, the button is labeled Send link.
- Confirm in the window: an email with the GDPR consent form goes to the client's address, and the status switches to Pending.
The public consent link
The side menu also offers Consent link: a public, non-personal link that you can copy and share (by message, QR code, etc.). Useful for a new contact whose file you haven't created yet.
Attest consent collected offline
If the client has already given you their agreement verbally or in writing (in an in-person session, for example), you don't have to send them a form: you can attest this consent yourself.
- When creating the file: in the New client window, Consent block, choose Consent already collected (in person). The attestation form opens; tick the box to validate.
- On an existing file: Consent tab, Record consent collected offline block, Attest consent button. The status then switches to Consent OK. Like resending the link, this action only appears while consent hasn't been granted yet (statuses Pending, Refused or To send) and on a non-archived file.
By ticking the attestation, you confirm that you obtained the client's free and informed consent to record, transcribe and analyse their sessions with AI. You also specify how it was collected — Verbally or In writing — and can add a note. Until the box is ticked, creation stays blocked.
