Organizing a group session

A group session brings several clients from the same group together for a workshop, peer coaching or group time. You schedule it from the group session composer, which prefills the participant list from the group you pick.


Before you start


Group sessions are reserved for the Professional plan and above. On Starter (or an expired trial), the entry point shows a lock icon and opens an upgrade window when clicked. A group session records only the coach's notes: it captures no audio and triggers no group consent request.


A group session can't be booked on your public page: group types never appear on Agenda › Public booking page (which only offers your individual sessions). You always schedule a group session yourself, from the entry points described below.


A group can have at most 20 participants. The participant list is frozen for each session: what you adjust here applies to this occurrence only.


Opening the composer


The "New group session" dialog opens from three entry points:


  • Create menu (top bar) → Group session.
  • Clicking an agenda cell — the date and time are prefilled to the slot you clicked.
  • From a group record, the New session button — the group is already preselected.


Filling in the session


  1. Choose the Session type — the list only offers your types configured for group work. Required field.
  2. Select the Group in the search. The group doesn't exist yet? Use Create a group on the fly without leaving the composer. Required field.
  3. Check the Participants — they're prefilled from the group. You can remove or add some for this session only (max 20). At least one participant is required.
  4. Set the Date then the Time. Required fields.
  5. Choose the Duration from the presets (1h, 1h30, 2h) or enter a custom value with Other (in 15-minute steps). Required field.
  6. If the session type runs over video with a shared room, add the Video link (optional).
  7. Give a Session name (optional) to tell occurrences apart — for example "Session 3: 360 debrief" (120 characters max).
  8. Add Notes (optional) if needed.
  9. To repeat the session, expand the Recurrence section and set the frequency then the end.
  10. Click Schedule session. A "Group session created." message confirms, then the session record opens.


Any required field left empty blocks submission and shows its error message (for example "Choose a session type." or "Add at least one participant."). Fix the flagged field, then try again.


Special cases


The chosen date is in the past


A banner warns you: the session will be recorded as already held and can no longer be edited afterward. The Recurrence section is then hidden — you don't schedule a repeat on a past date.



A group session captures no audio and triggers no group consent request. Consent stays individual: it's managed on each client's record.


Recurrence slots overlap


If the repeat lands on already-booked slots, a "Ignore conflicts?" confirmation appears. Confirm to create the occurrences anyway, or go back to adjust the frequency.


💡 Tip: name your occurrences right from creation ("Session 2: mid-point review") — you'll spot them at a glance in the agenda and the group's Sessions tab.
